CRM for Realtors: When You Actually Need One, and When It's Too Early
Three stages where a CRM solves different problems
A solo realtor on their first deals — phone notes and an Excel sheet are enough. Few clients, and you remember each one personally.
A steady flow — 5–10 deals a month. This is where the first missed calls and forgotten reminders start showing up. At this stage, a CRM isn't a luxury — it's insurance against losing clients.
A team or agency — without a CRM, the director can't see who's doing what, and new agents get lost among other people's work.
The bare minimum a realtor's CRM should do
A client database with roles (buyer/seller/renter), notes on each one, call reminders, and deal statuses shown as a funnel. Everything else is a bonus, not a must-have.
Honest advice
Don't buy an expensive "room to grow into" CRM in your first month. Start simple — even a personal Telegram bot with a client mini-CRM is enough while deal volume is low. Move to a full system once you have a team or a steady client flow that's too much to keep in your head.
